Love bringing order to complexity?
We are looking for a Production & Projects Coordinator to help turn ambitious productions and strategic initiatives into well-organised, successful delivery.
You will join our international Production & Creative Excellence function, located in Amsterdam, which connects production teams, expertise and priorities across our European markets.
This is not a traditional assistant role. It is an opportunity to work at the heart of Stage Entertainment's international production organisation, supporting world-class musical productions and business-critical projects across multiple markets.
Working with senior leaders and colleagues across countries, you will create structure, maintain momentum and help move important projects from idea to execution.
You may be a great fit if these are the questions you instinctively ask:
“What is the deadline?”
“Who is responsible?”
“What is the risk if this slips?”
“How do we make sure this gets done?”
Then this could be the role for you.
The Role
As Production & Projects Coordinator, you will work closely with the International Production team to coordinate strategic projects, production initiatives and operational improvements across the organisation. You will bring clarity and follow-through to complex initiatives: aligning stakeholders, tracking progress and making sure agreed actions move forward. Through clear reporting, disciplined coordination and early identification of risks, you will support timely, well-informed decisions. The role offers exposure to major international productions, senior decision-makers and strategic projects, while providing a strong foundation for further development in project and production management.
What you will do
Project & Production Coordination
- Coordinate multiple projects, milestones and action plans.
- Support major productions and strategic initiatives from planning through delivery.
- Monitor progress, flag risks and keep priorities on track.
- Use Microsoft Planner and Teams to structure project activities, track actions and deadlines, and ensure clear follow-up across stakeholders.
- Facilitate production-readiness reviews and project governance.
Stakeholder & Communication Management
- Build effective working relationships across countries, functions and disciplines.
- Drive follow-up and accountability so that actions are completed on time.
- Organise meetings, workshops and project reviews.
- Record decisions, maintain action logs and follow agreed outcomes through to completion.
Reporting & Continuous Improvement
- Prepare concise management reports, dashboards and status updates.
- Maintain clear project information in Teams, Planner and SharePoint.
- Help develop practical playbooks, best practices and knowledge-sharing tools.
- Identify opportunities to improve ways of working and strengthen operational excellence.
What you will bring
You have experience in a role where coordination, planning and stakeholder management are central to success. Whether your background is in projects, programmes, operations, events or another fast-paced environment, you know how to create structure, align people and maintain momentum.
We are interested in your ability to organise, influence and deliver results in a dynamic setting. Experience in theatre, entertainment or live events is welcome, but not essential.
You are someone who:
- Enjoys creating structure in complex environments.
- Has experience supporting strategic or cross-border projects.
- Is organised, dependable and attentive to detail.
- Keeps sight of the bigger picture while managing multiple priorities and deadlines.
- Communicates confidently with senior stakeholders and colleagues from different disciplines.
- Asks insightful questions and constructively challenges assumptions.
- Turns ambiguity into clear plans, actions and outcomes.
- Uses Microsoft 365 confidently, with a strong focus on Teams and Planner for project coordination, task management and follow-up.
- Holds a bachelor’s or master’s degree in a relevant field, such as Business Administration, Management, Operations, Project Management, Strategy, International Business, Event Management, or a related discipline.
- Brings 2–3 years of relevant experience in project coordination, operations, production, events, strategy, or programme management, with strong stakeholder management and organisational skills.
Above all, you gain energy from making things happen and helping others succeed.
